Automation isn't about replacing the personal touch. It's about taking the repetitive work off your plate so you have more time for the moments that matter. The best place to start is with tasks that happen the same way every time.
1. Scheduled guest messages
Booking confirmations, check-in details, checkout reminders and review requests follow the same pattern for every stay. Schedule them once in your platform or property management system and they'll go out on time, every time.
2. Cleaner scheduling
When a booking is made, changed or cancelled, your cleaner's schedule should update automatically. Many tools can create or move the cleaning task for you, and notify the cleaner.
3. Door codes
Smart locks can generate a unique code for each stay and send it to the guest at the right time. It's more secure than a shared code and one less thing to remember.
4. Supply and maintenance alerts
A simple form your cleaners fill in after each turnover ("anything low, missing or broken?") can feed a shared list or alert you straight away. Small issues get fixed before the next guest arrives.
5. Owner and performance reports
If you manage homes for owners, monthly reports are a perfect candidate for automation. Pull bookings and revenue into a template, review it, and send.
Keep a human in the loop
- Review any automated message before it goes live, and re-read it every few months.
- Decide which situations always come to a person: complaints, damage, safety and anything unusual.
- Start small. Automate one task, check it works for a few weeks, then move to the next.
